Your personal data and privacy
We treat the privacy of our customers and website users very seriously, and we take appropriate security measures to safeguard your privacy. Our Privacy Policy explains how we protect and manage the personal data you share with us and that we hold about you. This includes how we collect, process, protect and share that data.
We always collect and process personal data for a specific purpose. This is linked to a lawful basis and is limited to that purpose. We endeavour to maintain accurate data and, where the purpose is no longer relevant, data is deleted. In some cases, it is anonymised so that it cannot readily be linked to you.

Forms
When you want to make a request or tell us something through our website, you will be asked to complete a form. Your personal information will be used only to provide the service requested. We will also not ask for any more data than is necessary. On every form, we will tell you why the data is being collected and what it will be used for. It also mentions your rights, as defined by the General Data Protection Regulations.
Privacy notices
Havebury has a number of privacy notices to explain to you how your personal data is processed. They also tell you about your rights when we process your personal data.
Depending on your relationship with Havebury, there will be a different privacy notice. Please select from one of the following:

Applying for jobs with us
As a part of the recruitment process, we may collect and process the following categories of personal data:
- Full contact details (name, address, phone number, email)
- Application forms, CVs, cover letters, and supporting documents
- Interview notes, scoring sheets, and assessment results
- Right to work documentation and identity verification
- References and referee contact details
- Health information (where relevant to the role or for reasonable adjustments)
- Disclosure and Barring Service (DBS) check information (where applicable)
- Equality and diversity monitoring data (optional and anonymised)
- Any correspondence or communications relating to your application

We may share your personal data with, or obtain your data from, the following:

Your rights
You have rights under the Data Protection Act 2018, including includes the right to access your personal data at any time. This is so that you can verify the lawfulness of the processing and to ensure that it is accurate. Access to your data will be provided free of charge, except where the request is unfounded, excessive or repetitive.
We will respond within one month of your request being received. Where we need an extension, we will contact you within ten days to let you know and explain our reasons. We will respond within a further two months. In some rare cases we reserve the right not to respond, but we will always explain why.
You have the right to have incorrect or incomplete data rectified. If we have disclosed the personal data to others, we will inform them of the rectification unless this proves impossible or involves disproportionate effort.
You have the right to request erasure of your personal data or to object to processing. If we agree with you, we will comply. You have the right to refuse processing of your data for marketing purposes.

Declarations of interest
Guidance for our team and Board/Committee members
A declaration of interest is something that has the potential to conflict with someone’s duties.
We require a declaration of interest form to be completed annually by:
- Our employees
- Board members
- Committee members
We also ask them to notify us if their situation changes throughout the year, and we report these to Board on an annual basis.

Equality, diversity and inclusion (EDI) has never been more important. Recent events have highlighted the varied inequalities in our society, with the housing sector playing a pivotal role in addressing these.
We’re committed to being a good landlord and building new homes, with our services being easy to access. We know that recruiting a diverse workforce enriches our collective experience and what we can do, as a whole.

Modern slavery
As a socially responsible business, we must be alert to the risks of modern slavery and human trafficking in our business and in the wider supply chain.
Our businesses
We own two small property services and development companies which operate within East Anglia. These are:
- Design & Build Services East Ltd, which specialises in the procurement of building and development services
- Havebury Homes Ltd, which develops properties for market sale
Our supply chain
We do not currently trade outside the UK. Wherever possible, we procure labour and materials from within the local community. Our supply chain includes construction, building maintenance, heating and kitchen installation.
It also includes:
- Property cleaning
- Maintenance services
- Purchasing of ICT and office equipment
- Specialist care providers
Contracts with our supply chain include specific clauses in relation to modern slavery. In turn, they are legally bound to certify that they conduct due diligence on their own supply chains.
Due diligence processes
We provide training to staff to ensure high levels of understanding in this area. This covers:
- Modern slavery
- Human trafficking
- Our supply chain
- The business
This training, where appropriate, is also offered to our:
- Supply chain
- Business partners
- Residents
Regular reviews
Our leadership team regularly reviews our contract register to identify and check any high-risk contracts. They also use data collated from contract review meeting reports to track the effectiveness of these processes. The results of these reviews are reported to our Strategic Board on an annual basis.
Meanwhile, open and transparent communications between managers and staff are promoted through our management charter. We also have a whistleblowing policy. This allows our employees to raise concerns over anything in the business.

Our No PO No Payment policy
We will return any unpaid invoices to the relevant supplier if they do not display a valid PO number, this is in line with our ‘No PO No Payment’ policy.
It’s important to us that our contractors and suppliers are paid on time for the goods, services or work they supply us.
